Many businesses have a shared workgroup calendar in Microsoft Outlook that allows many people to set and edit a variety of appointments, meetings, and other events all at the same time. This is a particularly popular function in Outlook from the years of 2000, and 2003. Many times, it may become necessary to discover who may have set a particular appointment on a shared workgroup calendar. There are many reasons for this. One reason, and probably the most obvious, is that the day and time the appointment takes place may need to be changed due to a more urgent matter. Other reasons may include the fact that the appointment is no longer necessary, or it ties into time that more productive things need to take place. When you want to discover who has placed a particular item on a calendar that is shared among employees, you should first ensure that you know that your calendar version is the type that is considered to be a “workgroup” one. If you want to verify this, the first thing that you should do is to open the Microsoft Outlook program on your computer. Once it is opened, you can look across the top and locate the word “help”. You should then click on this, and scroll down to “about”. Click on the “about” option and ensure that it states it is the workgroup version. Once you have established this, you are ready to move on to the next step.

Going back to the first screen where you found the “help” option, you should locate the “view” option. If you click on this particular option, you will see a number of choices. The one in which you want to select is the “current view” option. You will then be able to select the option that allows you to investigate appointments that are currently in the active position on your calendar that is shared among your workgroup. From here, there are many ways that you can find out information about an item in question. However, one of the simplest ways is to simply right click on the item you are curious about and select “properties”. This will allow you to discover who itemized this particular event and other important information related to this event.

Once you have discovered the appointment setter on a shared workgroup calendar, you can choose to edit the entry, or contact the creator to edit it. It is best to contact the creator and allow them the option of editing it first. This is the most tactful way of handling this type of situation in a business environment.
